In accordance with the needs of the ages of the population served by KKI, the Supervisor, Care Center at the Center for Autism and Related Disorders (CARD) Care Center will oversee and operate all CARD Care Center systems in an efficient and productive manner. The Supervisor is responsible for the day-to-day supervision of Care Center Specialists and Care Center Specialist II staff. The Supervisor will interact with patients, families, clinicians, and administrative staff in a courteous and professional manner. Emphasis is placed on adhering to high standards of customer service and accuracy of execution of all job duties.
1. Oversees all functions of the Care Center, providing correction and backup where needed, of the following: (a) processing of all new external and internal patient referrals, and existing patient follow-up using the scheduling system; (b) patient scheduling; (c) communication with CARD and other KKI clinicians, CARD administrators, families, and other KKI Care Center staff regarding patients; (d) monitoring provider schedules; (e) analyzing and updating MAPS data, provider data, SIMS, ACCESS, and EXCEL databases; and (f) ensuring complete and accurate information is entered into the registration, scheduling, and charge entry system.
2. Tracks and monitors, unbilled report, insurance treatment plans, OMS treatment plans, insurance referrals, consults while communicating with KKI clinicians, CMO. Tracks, collects and processes quality improvement and patient data.
3. Prepares and maintains updated and accurate Care Center orientation and operations manuals. Develops and maintains a quality improvement program to monitor Care Center staff compliance with procedures, quality of data, and systems operations effectiveness..
4. Implements new employee training and performs all phases of the Performance Management cycle, including planning, monitoring, developing, rating and rewarding.. This will include, but is not limited to, training staff on computer and scheduling systems, scheduling systems, how to liaise with all staff, and Care Center policies and procedures, how to deliver excellent customer service, and CARD clinical products. In collaboration with Clinical Director, interviews, checks references and hires Care Center staff.
5. Meets regularly with Care Center staff, CARD clinical staff, CMO leadership, and financial manager on all issues related to Care Center.
6. Provides information to Clinical Director, on a weekly basis, about unfilled slots, scheduling issues, waiting list, issues related to pre-authorizations, and CMO financials.
7. Communicates with Clinical Director and CARD clinicians to ensure proper scheduling related to patients' needs and CARD system for service delivery. Maintains provider schedules for completeness and keeps clinicians and CARD Clinical Director aware of all changes.
8. Maintains an updated general understanding of insurance requirements as they relate to the collection of accurate information at the Care Center and allowing the ability to assess system information from Care Management Office (CMO), such as information related to insurance authorization for patient services.
9. Monitors and analyzes emerging (registration, scheduling) needs of the Care Center, and consults with Clinical Director, to allocate existing Care Center staff to meet all needs.
10. Assists with emergency scheduling and resolves all issues involved in scheduling situations.
11. With knowledge of the basic business requirements of CARD, serves as a liaison between clinic, Achievements, Care Center, the CMO, and customers.
12. Assists with the completion and tracking of other departmental reports including Delinquency Reports, MA Clearance Reports, Show Rate Reports, and Transcript Reports.
